Administrative Assistant (U.S. office)

Overview

Crossworld, a non-profit mission agency based in Kansas City, Mo., is a formative community of disciple-makers from all professions bringing God’s love to life in the world’s least-reached marketplaces. We have an immediate opening for a part-time Administrative Assistant for our Advancement department to join our motivated, entrepreneurial, and mission-focused team.

This position reports to Crossworld’s Strategic Project Manager and will support the Advancement department which includes Recruitment, Development, and Communications/Marketing. This position is hired as a part-time employee of Crossworld.

For most of the history of missions, most believers have been relegated to a behind the scenes support role when it comes to the Great Commission. We have said, “You can pray, and you can give. But leave the full-time missionary task to religious professionals.” Meanwhile, the world has changed. Many least-reached peoples live in countries inaccessible by a historic approach of sending vocational religious workers. In recent years, Crossworld recalibrated its vision and mission to seek and send disciple-makers from all professions. Today, Crossworld has more than 275 cross-cultural workers in 30 different countries committed to disciple-making and the development of the church through many diverse professions. These include sports, medicine, manufacturing, education, business, youth and children’s ministry, vocational missionary work and much more.

Desired Attributes

This position requires an individual who is highly self-motivated with experience in administrative work. He or she must be able to make sensitive decisions and deal with donors, churches, co-workers, and vendors in a caring and positive manner. The ideal candidate will be an outstanding verbal and written communicator, able to effectively convey thoughts in articulate, compelling, and at times sensitive ways.  

This individual will be responsible for a wide range of administrative tasks and must understand how accomplishing these tasks in a timely and effective manner serves Crossworld’s larger purpose and helps us achieve our mission.

Function

The part-time Administrative Assistant’s role advances Crossworld’s disciple-making vision by increasing the effectiveness of the Advancement department including Recruitment, Development, and Communication in the areas of administration, practical care of overseas staff, representing Advancement to constituents, and managing specific projects.

Responsibilities

  • Assist the Recruitment Department as follows:
    • Monitor and manage the main email inbox and assist with phone calls
    • Review, approve, submit, and manage expense reports for the department
    • Handle administrative tasks for on-site and off-site events
    • Maintain electronic files for the department
    • Assist with administrative tasks for the short-term program
    • Assist with tasks within Recruitment software for candidate applications
    • Schedule meetings with visiting Crossworld staff
    • Mail packages/letters as requested, and monitor inventory of promo materials and supplies
    • Coordinate gifts, cards, etc. for Recruitment staff
  • Assist Development Department as follows:
    • Work closely with finance team to resolve donor concerns
    • Assist with in-house donor correspondence such as:
      • Under-supported missionary and change of status letters
      • Donor prayer requests
      • Weekly donor thank you notes
      • Donor visitation follow-up
      • Easter/Thanksgiving cards
    • Assist with donor requests for planned giving literature
    • Prepare and send acknowledgment form letters for non-cash and stock gifts
    • Respond to church inquiries regarding support levels of workers
    • Assist with compiling reports on items such as planned giving inquiries, donor retention, and appeal performance
  • Assist Communications Department as follows:
    • Process and ship online and in-person orders
    • Maintain and manage inventory and delivery of print materials, media room supplies, and office supplies
    • Collect content, compile, and send the In-House Info weekly email
    • Manage the department calendar
    • Manage vendor and holiday gifts on behalf of the department
    • Assist with onboarding new home office staff
    • Update the glass boards on upper and lower levels
    • Assist with training events and video shoots as needed
  • Other responsibilities:
    • Attend prayer time twice a week and lead this prayer time occasionally
    • Participate in weekly staff meeting
    • Participate in department meetings as requested
    • Other duties as assigned

Evaluation

An annual evaluation will be conducted by the Strategic Project Manager.

Compensation

This is a part-time position and is classified as non-exempt with no additional benefits. Hourly compensation will be determined annually by the Vice President of Advancement and Strategic Project Manager. The role allows for a 25-28 hour per week schedule in concert with the Strategic Project Manager.

Requirements

  • Location: This nature of the job responsibilities requires the employee to work on campus for the majority of the work week. The employee must be able to function efficiently working from a cubicle in an open office area.
  • Skills: Outstanding administrative skills; competencies in Microsoft Office applications such as Word, Excel, PowerPoint and Outlook; confidence in using technology in general; relational abilities; and communication and writing skills, working knowledge of light accounting processes.
  • Physical abilities: The employee must be able to use a computer, type, answer phones, lift 15 pounds, and bend over to reach files from drawers.
  • Religious requirements: As a church organization that exists for religious purposes, Crossworld requires that all employees profess faith in Jesus Christ; be supportive of the Crossworld doctrinal statement; be an active member of an evangelical Christian church; be willing to participate in events, including Christian services, held or sponsored by Crossworld; be willing to share their personal testimony; refrain from committing any act which detracts from the Christian testimony and ministry of Crossworld and fulfill other ministry functions and requirements that may be requested by Crossworld.

Crossworld holds to biblical standards concerning sexual conduct.  We believe the Bible teaches that marriage is to be a lifelong union between one man and one woman, and that the sexual relationship is to be enjoyed uniquely within the context of marriage (Gen. 1:26-27; Ex. 20:14; 1 Cor. 6:18 - 7:4; Gen. 18:20; Lev. 20:13; Rom. 1:26-27). Because of our understanding of the biblical teaching on this matter, Crossworld does not employ or retain for employment individuals engaged in sexual conduct outside of the bounds of a heterosexual marriage relationship.
